Privacy Policy

This Privacy Policy ("Policy") describes how System365 ("System365," "we," "us," or "our") collects, uses, stores, discloses, and protects personal information of visitors and customers ("User," "you") of our websites located at https://system365.store and https://course.system365.store (collectively, the "Sites"), and of users of our Telegram bot (the "Bot").

By accessing the Sites, placing an order, or interacting with the Bot, the User acknowledges and agrees to the practices described in this Policy. This Policy forms an integral part of the public offer and applies to all visitors of the Sites and users of the Bot.

1. Data Controller

The data controller in respect of personal information processed under this Policy is System365. For all privacy-related inquiries, the User may contact us at support@system365.store.

2. Categories of Personal Data Collected

2.1. System365 may collect and process the following categories of personal data:

  • First name and last name;
  • Email address;
  • Telephone number;
  • Postal and/or delivery address;
  • Telegram username (e.g., @username) and Telegram user ID;
  • Order-related data, including billing information, order history, and product preferences;
  • Payment-related data processed through authorized third-party payment providers (System365 does not store full payment card details);
  • Technical data, including IP address, cookies, device type, browser type and version, operating system, referral source, and usage analytics;
  • Correspondence and support communications exchanged with System365.

2.2. The Sites and the Bot are intended for use by individuals who are at least eighteen (18) years of age. System365 does not knowingly collect personal data from individuals under the age of eighteen (18). Where System365 becomes aware that personal data has been collected from a person under the age of eighteen (18) without verifiable parental or guardian consent, such data shall be deleted without undue delay. A parent or legal guardian who believes that their child has provided personal data to System365 may contact support@system365.store to request deletion.

3. Purposes and Legal Basis for Processing

3.1. Personal data is processed exclusively for the following purposes:

  • Processing and fulfilment of orders, including payment and delivery;
  • Granting access to the System365 course through the Telegram bot and/or the website https://course.system365.store;
  • Communication with the User, including responses to inquiries and support requests;
  • Provision of services included in Premium and VIP support packages;
  • Dispatch of transactional, service, and informational messages;
  • Compliance with applicable legal and regulatory obligations;
  • Prevention of fraud, abuse, and unauthorized access;
  • Improvement of the Sites, the Bot, and the services offered.

3.2. The legal bases for processing include (i) performance of a contract to which the User is a party; (ii) compliance with legal obligations; (iii) the legitimate interests of System365 in operating and improving its services; and (iv) the User's consent, where required by applicable law.

4. Cookies and Tracking Technologies

4.1. The Sites use cookies and similar tracking technologies to ensure proper functioning, analyze traffic, and improve user experience. The User may disable cookies through browser settings; however, certain features of the Sites may become unavailable as a result.

4.2. System365 may use third-party analytics services (including Shopify analytics and, where applicable, additional providers) which may set their own cookies in accordance with their respective privacy policies.

5. Data Security and Retention

5.1. System365 implements reasonable and appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, loss, or destruction.

5.2. Access to personal data is restricted to authorized personnel involved in the technical operation of the Sites and the Bot and in the provision of services, and to authorized third-party service providers bound by confidentiality obligations.

5.3. Personal data is retained for no longer than three (3) years from the date of the User's last interaction with System365, unless a longer retention period is required or permitted by applicable law (for example, tax, accounting, or consumer protection requirements).

5.4. Upon expiry of the retention period or upon a valid deletion request, personal data shall be securely deleted or anonymized.

6. Disclosure of Data to Third Parties

6.1. System365 does not sell or rent personal data. Personal data may be disclosed to third parties only in the following circumstances:

  • To service providers acting on behalf of System365 for the purpose of performing the contract, including Shopify (e-commerce platform), Telegram (messaging and Bot delivery), authorized payment processors, shipping and logistics providers, email service providers, and hosting providers;
  • Where disclosure is required to comply with applicable law, a court order, or a lawful request from a competent authority;
  • Where the User has given explicit consent to such disclosure in connection with purposes that go beyond the performance of the contract (for example, optional marketing partnerships or third-party integrations);
  • In connection with a corporate transaction (merger, acquisition, or sale of assets), subject to equivalent confidentiality protections.

6.2. Third-party service providers are permitted to process personal data solely for the purposes specified by System365 and in accordance with this Policy and applicable law.

7. International Transfers

7.1. Personal data may be transferred to, stored in, or processed in countries other than the User's country of residence. Where such transfers occur, System365 shall ensure that appropriate safeguards are in place in accordance with applicable data protection laws.

8. User Rights

8.1. Subject to applicable law, the User has the right to:

  • Request access to, and obtain a copy of, the personal data held about them;
  • Request correction of inaccurate or incomplete data;
  • Request deletion of personal data ("right to be forgotten");
  • Object to or restrict processing;
  • Withdraw consent at any time, where processing is based on consent;
  • Request portability of personal data;
  • Lodge a complaint with the competent supervisory authority.

8.2. To exercise any of these rights, the User may send a written request to support@system365.store. System365 shall respond to such requests within ten (10) business days of receipt, unless a longer period is required or permitted by applicable law.

8.3. Withdrawal of consent does not affect the lawfulness of processing carried out prior to such withdrawal.

9. Amendments

9.1. System365 reserves the right to amend this Policy at any time, without prior notice. The current version of this Policy is always available at https://system365.store/pages/privacy-policy.

9.2. The User is encouraged to review this page periodically for updates. Continued use of the Sites or the Bot following the publication of an amended version shall constitute acceptance of the amended Policy.
